Executive Assistant

Job Summary

This role will be filled by a multifunctional self-starter, who requires little management and is able to predict needs before they present themselves. As a highly organized problem solver who pays close attention to detail, you will need to be able to juggle a variety of different tasks while facilitating last minute changes (on a very regular basis). Outlook and/or Google Calendars proficiency is a must! Experience with booking travel, both domestic and international is a plus. As the gate keeper and point person to both C-Level Executives and VP’s, excellent communication skills both written and verbal are key to being successful in this position.

Job Description

  • Support the C-Level Executives with schedule and correspondence, ensuring all contacts are addressed correctly and in a timely manner
  • Maintain complex Executive calendars and schedules for C-Level Executives and VP’s in a fast-growing company including booking all travel with detailed itinerary and registering for various conferences
  • Write reports and edit presentations or speeches in preparation of Executive speaking engagements and meetings while managing the soft copy files on company server
  • Work w/Sr. EA to co-produce monthly meetings, company gatherings, Summer and Winter Holiday parties and Executive dinners
  • Occasional assistance with personal calendaring such as Doctor, Dentist and dinner appointments non-work related
  • Fill-in for Sr. Executive Assistant as needed during PTO leave
  • Be available for requests from the Executive staff as needed including occasional after-hours correspondence
  • Communicate and coordinate between various departments within the company
  • Prepare expense reports for the Executives, following the guidelines of company policy
  • Prepare agendas, meeting minutes and transcribe correspondence from handwritten notes while managing actions from meetings
  • Provide guidance to Administrative Assistant on task assignments
  • Handle confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience


  • 2+ years of experience in an executive-level support role and a demonstrated track record of success in a fast-paced environment
  • Gmail and MS Office proficient;
  • Ability to multi-task a large number of tasks
  • Good interpersonal relationship skills and a willingness to work and resolve problems
  • Ability to handle sensitive and confidential information with discretion
